Numachine Limited (“Numachine”, “we”, “us”, “our”) is a specialist subcontract CNC machining business and the data controller responsible for your personal data. We are registered in England and Wales under company number 11874254.

This policy explains how we handle personal data collected through this website (numachine.co.uk), including our quote-request form, and when you otherwise contact or deal with us. It is written to comply with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).

Information you give us. When you submit our quote-request (RFQ) form, email us, or call us, we collect the information you provide, which may include:

• your name (first and last);
• your company / organisation;
• your email address and, if you provide it, your telephone number;
• the details of your enquiry — the parts, quantities, materials, tolerances and timelines you describe; and
• any files you choose to attach, such as engineering drawings, CAD models or technical documents (e.g. STEP, PDF, DXF), which may themselves contain your personal or commercially confidential information.

Information we collect automatically. If you consent to analytics and marketing cookies (see section 6), we and our providers collect standard technical and usage data — such as your IP address, device and browser type, the pages you view, referring pages, and how you interact with the site. Without consent, these cookies are not set.

We do not intentionally collect special-category data (such as health or biometric data) through this website, and ask that you do not send it to us. We do not knowingly process data relating to children.

Under UK GDPR we must have a lawful basis for using your personal data. We rely on the following:

To respond to your enquiry and prepare a quote. Handling your RFQ submission, reviewing your drawings, and contacting you about your project. Lawful basis: taking steps at your request prior to entering a contract, and our legitimate interests in responding to business enquiries.

To provide our machining services and manage the relationship. Fulfilling orders, correspondence, delivery and support. Lawful basis: performance of a contract, and our legitimate interests in running our business.

Analytics and marketing. Understanding how the site is used and measuring the effectiveness of our advertising. Lawful basis: your consent (which you can withdraw at any time).

Legal and accounting obligations. Keeping records we are required by law to keep (for example for tax purposes) and responding to lawful requests. Lawful basis: compliance with a legal obligation.

Where we rely on legitimate interests, we have balanced those interests against your rights and do not use your data in ways you would find unexpected or intrusive.

We understand that the drawings, models and specifications you send us are commercially sensitive. We treat them as confidential, use them only to assess and fulfil your enquiry or order, and share them only with the people and providers who need them for that purpose (see section 5). If your project requires a signed non-disclosure agreement before you share files, contact us and we will be glad to put one in place.

We do not sell your personal data. We share it only with service providers who process it on our behalf under appropriate contracts, and where we are legally required to. These include:

HubSpot. Our customer-relationship management (CRM) and forms platform. Quote-request details you submit are stored here so we can manage your enquiry. Our HubSpot account uses EU-based data hosting.

Google (Analytics, Ads and Tag Manager). Website analytics and advertising measurement, used only where you have given cookie consent.

Our website host and email provider. The infrastructure that serves this website and delivers the email containing your enquiry and any attached files to our team.

Professional advisers and authorities. Our accountants, insurers or legal advisers where necessary, and public authorities or regulators where we are required to disclose by law.

International transfers. Some of these providers (in particular Google) may process data outside the UK. Where that happens, the transfer is protected by an appropriate safeguard recognised under UK law, such as UK adequacy regulations or the International Data Transfer Agreement / Addendum to the EU Standard Contractual Clauses.

When you first visit, we ask for your cookie preferences. Essential cookies needed to make the site work, and to remember your cookie choice, are always active. Analytics and marketing cookies (Google Analytics, Google Ads, Google Tag Manager and HubSpot tracking) are only set if you accept them.

You can change or withdraw your choice at any time using the Cookie Preferences link in the footer, or by clearing cookies in your browser. Withdrawing consent does not affect the lawfulness of processing carried out beforehand.

We keep personal data only for as long as we need it for the purposes above. Enquiries that do not lead to an order are kept for a reasonable period so we can follow up and maintain our records, then deleted or anonymised. Where you become a customer, we retain records relating to the contract for the length of our relationship and for as long afterwards as required to meet our legal, accounting and limitation-period obligations (generally up to six years). Analytics data is retained for the period set within the relevant provider’s tools.

Under UK GDPR you have the right to:

• access the personal data we hold about you;
• have inaccurate data corrected;
• have your data erased in certain circumstances;
• restrict or object to our processing, including objecting to direct marketing;
• data portability, where processing is based on consent or contract and is automated; and
• withdraw consent at any time, where we rely on consent.

This website is served over an encrypted (HTTPS) connection, and we apply appropriate technical and organisational measures to protect personal data against unauthorised access, loss or misuse, including access controls and working with reputable, security-conscious providers. No transmission over the internet can be guaranteed completely secure, but we take the protection of your data — and your drawings — seriously.

If you have a concern about how we handle your data, please contact us first so we can try to resolve it. You also have the right to complain to the UK’s supervisory authority, the Information Commissioner’s Office (ICO), at ico.org.uk or on 0303 123 1113.

We may update this policy from time to time to reflect changes in our practices or the law. When we do, we will revise the “Last updated” date at the top of this page. Please check back periodically.
